Contractor document management
Contractor Document Retention and File-Naming Guide
Organize contracts, approvals, job photos, invoices, warranties, and compliance records so the right file can be found when it matters.
A project file is easy to ignore until a customer questions the scope, an invoice needs support, a warranty concern appears, or an important approval cannot be found.
Contractor document management starts with two decisions: what belongs in the official job record and how the team will name, store, review, and dispose of it.
Market Reality: Search Time Is a Process Cost
Photos live on phones, approvals live in texts, invoices live in accounting, and contracts live in email. The information may exist, but scattered information is difficult to trust and expensive to retrieve.
Retention periods vary by record type, contract, insurer, tax requirement, and jurisdiction. Use qualified legal, accounting, insurance, and compliance guidance to set the company schedule.

Use File Names That Sort and Explain
A useful pattern is

Keep names consistent, avoid vague labels such as final-final, and never place sensitive personal information in the file name.

Set Access and Disposal Rules
Give employees access based on their role. Restrict identity documents, payment information, employee records, credentials, and other sensitive content. Record the approved disposal method and do not keep every file forever simply because storage is available.
Make Photos Part of the Record
Save photos with the project, date, location or task, and purpose. Capture existing conditions, concealed work before it is covered, deliveries, damage, change requests, progress, and completion where appropriate.

Frequently asked questions
Here are some common questions about our company.
There is no single universal period. Requirements depend on record type, contract, insurer, tax rules, and jurisdiction. Obtain qualified guidance.
Save communications that document scope, approval, customer instruction, dispute, or another material business decision into the official record.
That creates access and continuity risk. Move relevant photos into the approved project record promptly.
Make the Record Easy to Trust
A consistent folder and file name will not solve every documentation problem, but it gives the team one dependable place to begin. Apply the standard to every new job and improve older records as they become active.
