Onboarding
A Clear Setup Process Before Support Begins
Good support starts with the right information.
Before SupportCrewe begins managing your leads, workflows, customer communication, admin tasks, Odoo setup, or marketing support, we take time to understand your business and prepare the support system around it.
Our onboarding process helps us collect the details, access, instructions, tools, and workflow rules needed to support your business accurately from the start. This helps reduce confusion, missed details, and back-and-forth once active support begins.
Our Step-by-Step Process
Business Profile Setup
We begin by confirming the core details of your business.
This includes your business name, contact information, website, service areas, primary services, team contacts, current tools, and the type of support you are starting with.
The goal is to build a clear internal profile so SupportCrewe understands who you are, what you offer, and how your business should be represented.
Service and Workflow Confirmation
Next, we confirm exactly what SupportCrewe will help manage.
Some clients need lead management only. Others need Odoo setup, admin support, customer communication, marketing, project coordination, CRM updates, or a full support workflow.
We confirm what needs to happen when a new lead comes in, who approves customer messages, how quotes should be handled, what information must be collected, when follow-ups should happen, and what should be escalated to the business owner or internal team.
Access Collection
To support your business properly, we may need access to certain tools or platforms.
This can include Odoo, email, calendars, website admin, lead platforms, social media, document storage, communication tools, CRM records, or marketing platforms.
Access depends on the services you choose. A client using only Odoo setup may need different access from a contractor using lead management, customer communication, project coordination, and marketing support.
Lead Source and Communication Review
If SupportCrewe is helping with lead management or customer communication, we review how your leads and messages currently come in.
That may include website forms, Google, Angi, Yelp, Thumbtack, Bark, Facebook, referrals, email, calls, repeat customers, or direct messages.
We also review how customers should be answered.
Odoo and System Preparation
If Odoo is part of your support plan, we prepare the system around your workflow.
This may include CRM stages, lead sources, website forms, task workflows, project stages, document folders, user access, email templates, automations, and internal notes.
Templates, SOPs, and Internal Instructions
Before support begins, we prepare the working instructions your support team will use.
This may include message templates, follow-up rules, CRM instructions, quote request steps, onboarding checklists, escalation rules, admin processes, marketing notes, or project coordination instructions.
Team Assignment
Once the business profile, workflow, access, and instructions are ready, we assign the support roles needed for your account.
Depending on your services, your workflow may involve support for customer communication, admin tasks, CRM updates, Odoo setup, project coordination, marketing, or human-managed AI support.
Go-Live Preparation
Before active support begins, we review the setup and confirm that the main workflow is ready.
This may include testing website forms, reviewing CRM stages, checking access, confirming templates, reviewing task assignments, and making sure the support team understands the account.
From Setup to Active Support
Why Onboarding Matters?
Onboarding helps SupportCrewe support your business correctly.
Without onboarding, support becomes reactive. Someone has to stop and ask for missing information every time a lead comes in, a customer asks a question, a quote needs follow-up, or a task needs to be assigned.
With onboarding, the support team has a clearer understanding of your business, your tools, your communication style, and your workflow.
That makes the transition smoother and helps active support start with fewer gaps.
The First 30 Days
The first 30 days are usually the adjustment period.
During this time, we may refine workflows, improve CRM stages, update templates, adjust follow-up rules, clean up records, organize documents, or correct processes that were not fully clear during setup.
This is normal.
The first version of a workflow gives us the foundation. The first 30 days help us make it more accurate for real daily use.
What Happens After Onboarding
After onboarding is complete, your account moves into active support.
Depending on your plan, SupportCrewe may begin managing leads, customer communication, CRM updates, admin tasks, project coordination, marketing tasks, Odoo support, workflow automation, or human-managed AI support.
Your business does not stop changing after onboarding. That is why SupportCrewe continues to review, improve, and adjust the workflow as your needs grow.
What We May Ask You For During Onboarding?
Onboarding works best when the right information is provided early.
You do not need to have everything perfect before starting. If your current systems are messy, that is exactly why onboarding exists. We help organize the information into a clearer working structure.
Depending on your service plan, we may require:
your business details
service areas
logo
website access
Odoo access
current pricing rules
workflow notes
service list
team contacts
brand colors
email access
lead platform access
social media links
existing documents
